Privacy Policy for HtE Recruitment Limited

HtE Recruitment Limited (“HtE Recruitment”) is committed to protecting the privacy of our candidates, clients and users of our website. We want to provide a safe and secure user experience. We will ensure that the information you submit to us via our website or through any of our offices is only used for the purposes set out in this policy.

The Information We Collect and How We Use It

HtE Recruitment may collect your personal details, including but not limited to your name and contact details (together with your e-mail address) and other relevant information from your CV. On occasions this may also include – sensitive personal information such as details of criminal convictions and ID. This information is held, used and disclosed by us as follows:

1.to provide our services to you;

2.to maintain our business relationship, where you are a user of our website, a client or candidate;

3.to enable you to submit your CV for general applications, to apply for specific jobs or to subscribe to our job alerts. Please see the separate section on your CV below which outlines additional uses and disclosures;

4.to match your details with job vacancies, to assist us in finding a position that is most suitable for you and to send your personal information (including sensitive personal information) to clients in order to apply for jobs;

5.to answer your enquiries;

6.to provide relief work (this is why we require ID, as proof to work in the UK)

7.to fulfil contractual obligations with our clients

8.where you are registered as a candidate on our database for relief work, we will need to share your details with a payroll company and the funding company who funds the work

9.to trusted third parties where we have retained them to provide services that you or our clients have requested, such as reference, qualification and criminal reference checking services (as required), verification of the details you have provided from third party sources, registration portal company, payroll company, DBS checking company.

10. if HtE Recruitment or its business merges with or is acquired by another business or company, we may share personal information with the new owners of the business or company and their advisors and if this happens, you will be sent notice of such event;

11. we may also release personal information to regulatory or law enforcement agencies, if they require us to do so. We will also disclose your information where we are permitted and requested to do so by la; and

12.we may also seek your consent to collect, hold, use and disclose your personal information for any other purpose not listed above.

GDPR:

HtE Recruitment will notify candidates that we need to hold onto your details on our database so we can contact candidates about jobs, send cv’s to clients, arrange relief work, arrange interviews. We will request a ‘opt in’ from candidates when registering candidates however we can only work with candidates who opt in as we would have no ways to contact a candidate if we can not hold details about them. Candidates have the right to be forgotten or removed, this will happen when there is no legal reason to keep the details (ie HMRC tax timescales, HMRC agency worker reporting reports, Police investigations, right to work in the UK record keeping).
By sending your cv we will need to keep a copy of your details so we can be in contact with you. If you are no longer looking or change your mind after applying for a job, please let us know and we can remove you. There is a ‘business need’ to hold onto your cv/details after you submit it to you, so we can make contact which it can take a candidate a few weeks sometimes to call us back.

We never sell your details to a 3rd party nor  allow 3rd parties acess to our database. We will seek your permission to submit a cv to a client. HtE Recruitment acts as a recruitment agency and requires some details about you, so we can secure interviews and job offers.

Phone calls

All incoming and outgoing calls are recorded for training and security reasons. We will not sell these recordings to any 3rd parties. The recordings are used for training the team, ensuring we meet legal requirements and to show as eviedence if required for none payment of client invoices. Our CRM system is linked to our phone system. We will also keep a written summary note on the CRM system about each incoming and outgoing call, as part of the record keeping requirements in the Recruitment Act of 1973.

Job Alerts

Our consultants do send out a small number of job alerts using post code matching from our database. You can request to be on the database but excluded from mass emails. Email info@hterecruitment.co.uk to be removed from the job alert part of the database.

Curriculum vitae (“CV”)

We give you the option of submitting your CV via our website on email or by providing your CV to one of our consultants. You can do this either to apply for a specific advertised job or for consideration by our recruitment consultants for positions as they come up. Your CV will be stored in the HtE Recruitment database, and will be accessible by HtE Recruitment team of consultants in the UK. Your CV may also be e-mailed directly to a consultant .

You can update your CV at any time, simply by following the same procedure to submit a new CV. Your old CV will be kept on the database under the same profile field and you will only be kept once on the database.

Contacting via linkedin and emails

All incoming and outgoing communications from our emails and company linkedin accounts are recorded and monitored for security and training. We keep copies of all incoming and out going emails on our CRM system and copies of Linkedin messages on the CRM system. The CRM system acts as a platform for sending emails, Whatsapp messages, Linkedin messages and text messages. As these are sent, a copy is kept as part of our record keeping to meet our responsibilities under the Recruitment Act of 1973.

Aggregate Information about HtE Recruitment online visitors

We gather information and statistics collectively about all visitors to our website via google analytics, for example, the country and area a user is from, the type of devise used, which pages looked at and how long on the website. This information is used to improve the quality experience for our website users.

Use of Cookies

HtE Recruitment uses cookies liked to the google analytics tools to monitor website traffic and number of repeat users.

Access

You have the right at any time to ask us for a copy of the information supplied by you that we hold. We may ask you to verify your identity and for more information about your request. We also have the right to charge an administrative fee for this service. Where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.

If you would like to make a request for information, please contact info@hterecruitment.co.uk. You also have the right to ask HtE Recruitment under GDPR data regulations to stop using your information. However, if this involves a request for deletion of your file, please be aware that we may not be required or able to do so if there is a ‘business requirement’ to hold your details, particularly where your file also holds information about our clients or financial information that we need to keep for periods of up to six years, i.e. that relate to hmrc tax matters. Where we are unable to comply with your request we will provide reasons for failing to do so and will delete as much information as permitted to do so. Once we no longer require the information we will delete under your ‘right to be forgotten’ in the GDPR regulations.

The HtE Recruitment datbase is only available to HtE Recruitment team via a  password log in. The database is monitored via IP address tracking for security reasons.
